Verification platform terms and operational conditions.
These terms govern the use of VeriCam's primary-source credential verification platform, institutional workflows and audit-based verification services. They define the scope of verification, the responsibilities of users and recipients, and the operational boundaries under which reports are issued.
By accessing the VeriCam platform or any verification report issued through it, you accept these terms and the documents incorporated by reference: Privacy & data governance, Consent & authorisation, Anti-fraud policy and Disclaimers.
What VeriCam is — operationally.
VeriCam coordinates primary-source confirmation between applicants, requesting recipients and issuing Cameroonian institutions.
Registrar offices, verification officers and supervisors operate inside role-scoped workspaces with audit-logged actions.
Every case, response and report issuance is preserved under a published retention policy for compliance and re-verification.
What is in scope — and what is not.
VeriCam confirms whether credential information was attested by the issuing institution. It does not award credentials, accredit institutions or evaluate equivalency.
- Confirming credential information with the issuing Cameroonian institution
- Recording institutional responses and supporting evidence
- Producing tamper-evident verification reports for the named recipient
- Maintaining a public authenticity portal for re-verification of issued reports
- Awarding qualifications or amending institutional records
- Accrediting institutions or attesting their accreditation status
- Determining credential equivalency in foreign education systems
- Guaranteeing acceptance by a particular admissions, licensing or immigration body
Verification outcome classifications.
Each report carries one of four outcome classifications. These are the only authoritative meanings — third-party paraphrases should be checked against these definitions.
| Outcome | Operational meaning |
|---|---|
| VERIFIED | Issuing institution confirmed the credential through a primary-source channel. |
| PARTIALLY_VERIFIED | Institution responded; some fields confirmed, others outside their attestation scope. |
| NOT_VERIFIED | Institution responded and did not confirm the credential as filed. Documents the institution's non-confirmation. |
| UNABLE_TO_VERIFY | Institution did not respond within the SLA window. Documents the attempt — not a finding of fraud. |
Obligations of submitters and account holders.
- 01Provide accurate information
Applicant identity, credential metadata, recipient details and verification purpose must be truthful and complete.
- 02Obtain valid consent
Submitters must obtain and upload the applicant's signed authorisation before submitting a verification request.
- 03Use reports within authorised scope
Verification reports may be used only for the purpose stated at submission and disclosed only to the named recipient.
- 04Protect access credentials
Users must not share login credentials, impersonate other users, or attempt to bypass security controls.
- 05Respect re-verification integrity
Verification IDs and QR codes are tamper-evident; manipulating them or misrepresenting their state is prohibited.
Prohibited conduct.
Conduct that undermines verification integrity, applicant protection or operational governance will result in account suspension and, where appropriate, escalation under the anti-fraud policy.
- Submitting fraudulent or fabricated documents
- Impersonating institutions, applicants or other users
- Circumventing role-scoped access controls
- Accessing case data without authorisation
- Scraping, bulk-harvesting or replaying verification data
- Misrepresenting verification outcomes to third parties
- Forging or altering verification IDs / QR codes
- Using the platform to launder credentials or evade adjudication
What verification cannot guarantee.
Outcomes depend on the issuing institution responding through its published official channel.
Historical records — particularly pre-digitisation cohorts — may be incomplete or unavailable at the institution.
Faded, partial or non-original scans can prevent reliable extraction and confirmation.
Some institutional records are released only under specific legal or procedural conditions.
An UNABLE_TO_VERIFY outcome reflects the absence of an authoritative response, not a finding of fraud.
Reports state what was verified and on what basis. They do not warrant facts outside the scope of the verification. Recipients should rely on the documented outcome classification and the verification methodology that produced it.
For universities, embassies, employers and evaluators.
Recipients receiving a VeriCam report retain full responsibility for the adjudication decisions they make with it. The report is operational input; the decision is yours.
- Interpret reports within the scope of the request and the stated outcome classification
- Apply your own admissions, licensing, immigration or employment criteria
- Treat NOT_VERIFIED and UNABLE_TO_VERIFY outcomes according to their distinct meanings
- Re-verify the report via the public authenticity portal before reliance
- Refer suspected fraud through the documented escalation channel
Operational integrity is preserved.
Every action on a verification case — submission, AI extraction, institutional outreach, response, officer decision, supervisor approval, report issuance, revocation — is timestamped with actor identity and recorded in an audit trail. The audit trail is preserved under the retention windows published in our privacy policy and is admissible in disputes about the verification record.
- Verification IDs are cryptographically derived from the case record
- Two-person rule enforced before report issuance
- Public re-verification reflects the live record state
- Revocations and supersessions are publicly visible
Reports are durable but not immutable.
Verification reports may be updated, revoked, superseded or re-issued where:
- new institutional information becomes available;
- fraud indicators emerge that were not visible at issuance;
- operational corrections are required to maintain the accuracy of the public record.
Revocations and supersessions are visible on the public authenticity portal — recipients are expected to re-verify before reliance, especially for time-sensitive adjudication.
VeriCam operates independently.
VeriCam operates independently of issuing institutions and recipients. We do not alter academic records, influence institutional decisions, or replace official authorities. We document what the institution attests — nothing more, nothing less.
How verification work is billed.
Fees are charged once per credential at submission. The issued report is valid for 24 months from issuance and is shareable with an unlimited number of receiving institutions (universities, embassies, employers, evaluators) during that window — at no additional cost to either the applicant or the receivers.
When an applicant submits multiple credentials at once as a verification package, a single consolidated invoice is issued for all credentials in the package and payment is collected once before any institutional outreach begins.
Pricing reflects the verification work performed — not the outcome. Reports with NOT_VERIFIED or UNABLE_TO_VERIFY outcomes remain billable because the underlying institutional outreach, officer review and supervisor approval have been performed. Receiving institutions (universities, embassies, employers, evaluators) never pay to access a shared report.
Account suspension and termination.
VeriCam may suspend or terminate accounts that violate these terms, submit fraudulent requests, attempt to misuse the platform or breach the anti-fraud policy. Affected users retain access to existing issued reports — unless those reports have been revoked — and the audit record of their case history is preserved under the published retention policy.
Governing law and cooperation.
These terms are governed by the laws of the Republic of Cameroon, where the verification work and institutional outreach are performed. Operational activities involving Cameroon-issued credentials may involve cooperation with institutions and authorities operating under Cameroonian law. Disputes between users and VeriCam are subject to the competent Cameroonian courts.
Where users are based outside Cameroon, applicable consumer-protection or data-protection rights under their local law are not overridden by this clause. Cross-border data transfers are governed by the safeguards described in our privacy policy.
